Who is responsible for your information

Information you provide

The consultation form collects your name, email address, role, selected consultation topic and message. It also records that you acknowledged this notice and the time of that acknowledgement. Information about your property is included only to the extent you choose to describe it in your message.

Please provide only information relevant to your enquiry. Do not include identity documents, bank details or sensitive information about tenants or other people. If you contact us directly, we also receive the information you include in that correspondence.

How and why information is used

We use enquiry information to understand your request, communicate with you and consider whether a consultation is appropriate. Where you ask us to take steps towards a service agreement, the basis is taking steps at your request before entering into a contract. For other enquiries, our legitimate interest is responding to people who contact the business.

Technical information is used to operate and protect the website, prevent repeated or abusive submissions and investigate problems. Our legitimate interest is maintaining a secure, reliable service. Information may also be used where necessary to meet a legal obligation or establish, exercise or defend legal claims.

The privacy acknowledgement on the form records that you have read this notice; it does not sign you up for marketing. The form does not send automatic confirmation or marketing emails, take payment or confirm an appointment.

Enquiry storage and access

Consultation requests are stored as private records in the website database and are available through the authorised administrator account. They are not published on the website or made available through its public search or public content API.

Hosting, maintenance and other service providers may process information where necessary to operate the website or support our handling of enquiries. Information may also be disclosed where the law requires it or where necessary to protect legal rights. We do not sell enquiry information.

Technical information and cookies

The hosting infrastructure processes connection information, which may include an IP address, request time, requested page and browser information, to deliver and secure the website. The enquiry form uses a keyed hash derived from the connection IP address to limit repeated submissions for one minute. It does not store the original IP address as a field in the enquiry record; expiry of the limit is separate from the removal of expired technical records.

After a successful submission, a short-lived random reference in the page address allows the site to display a general confirmation when the page is refreshed. The reference does not contain your name, email address, message or enquiry record number. The server stores a hash of that reference for confirmation purposes.

The consultation form does not create its own tracking cookies. WordPress uses necessary cookies for administrator login and session security. The website does not use advertising or analytics cookies, external map or video embeds, or third-party font delivery. Website fonts and images are served from this site.

Hosting and processing locations

Website hosting and technical providers process information to operate and secure this service. Your information may be processed outside the United Kingdom. Contact service@rsypropertyletting.com if you would like information about processing locations and the safeguards applicable to your information.

How long information is kept

We retain enquiry information for the period reasonably needed to deal with the request and any resulting engagement, and to meet applicable legal, accounting or dispute-related requirements. The appropriate period depends on the nature of the enquiry, whether a service relationship follows and whether information is needed for a legal claim.

The enquiry form does not automatically delete records after a fixed period. Authorised administrators can remove records when they are no longer needed. Copies may remain in backups until those backups are replaced or deleted under the applicable backup arrangements.

Your rights and choices

Depending on the circumstances and applicable law, you may ask for access to your personal information, correction of inaccurate information, erasure, restriction of processing or a portable copy. You may object to processing based on legitimate interests. Where processing relies on consent, you may withdraw it without affecting the lawfulness of earlier processing.
